Business seats: who takes a seat and how to change the number of seats

Updated:

In Taska, Business is paid per seat. A seat is taken by everyone with the “Owner”, “Admin” or “Member” role, including people invited only to specific projects. Guests are free.

An invitation to a specific project only limits what the person sees. They take a seat just like a member of the whole space. If someone is in the space and is also invited to a specific project, they still take one seat. The difference between roles is described in “Roles: owner, admin, member and guest”.

How much a seat costs

PeriodSeat price for the periodPer month
1 month580 ₽580 ₽
1 year5,400 ₽450 ₽
2 years9,840 ₽410 ₽
3 years13,320 ₽370 ₽

Guests on Business are free: up to 50 per space and up to 50 in one project. Prices for all plans are listed in “Taska plans and feature comparison”.

The seat price is fixed when you subscribe. You pay this price per seat even if Taska changes its prices. The price is recalculated if you change the billing period or subscribe again after your subscription has ended. If you pay the renewal invoice late, but within 30 days after the end of the period, the price stays the same.

When you subscribe to Business, you don't choose the number of seats. It equals the number of people who take seats, and the checkout window lists them under “Seats are paid for these people”.

How to see how many seats are paid

  1. In the sidebar, point to the team space name and click the “Space settings” gear.
  2. Open the “Billing” tab.
  3. Look at the two lines in the subscription section. “Paid seats” shows how many seats are already paid for, and “Members in the team” shows how many seats are taken right now.
Space settings: the Billing tab is numbered 2, and the Paid seats and Members in the team lines in the Business subscription section are numbered 3

If there are more people than paid seats, a line like “2 seats are active and will be billed in the next invoice” appears below. The owner and admins of the space see the “Billing” tab.

If you add a member in the middle of a period

A new member can start working right away. The extra charge for them covers the days left until the end of the paid period. Which invoice it comes in depends on the billing period.

  • With monthly billing, the extra charge comes as a line in the next renewal invoice.
  • With yearly, 2-year or 3-year billing, Taska issues a separate invoice for the remaining days right away. You have 7 days to pay it. Everyone added within one day goes into the same invoice.
  • If fewer than 30 days are left in the period, there's no separate invoice. The extra charge comes as a line in the renewal invoice.

Invoices for new members wait on the “Billing” tab in the “Invoices for added members” section.

You can see what a new person costs before you invite them. In the “Invite by email” window, below the role selection, Taska shows, for example, “A member takes a paid seat: 580 ₽ per month”, and below that which invoice the extra charge comes in. There's no such note for a guest.

The Invite by email window: the Member role selection and, further down, the note about the seat price and which invoice the extra charge comes in are outlined

How to reduce the number of seats

Seats go down together with people. Remove a person from the space or change their role to “Guest”, and the seat is freed. The main amount of the renewal invoice is calculated from the people who take seats on the day the invoice is issued.

If a person left before the end of the paid period, the unused days of their seat are credited to the next invoice that includes seats, and that invoice gets smaller. Usually it's the renewal invoice. With yearly, 2-year or 3-year billing, the credit can also go to an invoice for new members if that one comes first. If the person took a paid free seat, there's no credit. The seat becomes free again, and the next new member takes it at no extra cost.

There's also a credit for someone who left after the renewal invoice was issued, if you paid that invoice: the days of the new period paid for them are credited to the next invoice that includes seats. If the credit is larger than the charge for new members, there's no separate invoice for them, and the charge and the credit are settled in the next invoice that includes seats. If Taska issues that invoice again, for example when more people are added within the same day, the credit moves to the new invoice.

If a person leaves before you pay the invoice for their seat, Taska recalculates that invoice. In the new invoice, their seat costs only the days they spent in the team, and the due date stays the same. If you've already started paying that invoice, its amount doesn't change, and the paid days after the person left are credited to the next invoice that includes seats.

If the renewal invoice is going to include an extra charge for people who joined or a credit for people who left, a “Next invoice” section appears on the “Billing” tab. It shows what the renewal invoice will be made of. People who left are listed there under “Worked part of the period and left”, and the “Refund applied to the total” line shows how much the invoice goes down. Once Taska issues the renewal invoice itself, the section disappears.

You don't need to buy seats in advance. A new member starts working as soon as they accept the invitation, and their seat is paid for by the rules in the section above.

Why “Members in the team” is higher than “Paid seats”

Someone joined the team after the period was paid. Their seat works right away and is paid according to the rules in the section above: as a line in the renewal invoice or as a separate invoice.

What paid free seats are

These are seats that were paid for when Business was taken out but that nobody occupied on the day of payment. For example, someone left the team while you were paying for the subscription. A new member takes such a seat at no extra cost, and the invitation window says so, for example “You have paid free seats: 1”. Free seats last until the end of the paid period or until the renewal invoice is paid, if it's paid earlier. The renewal invoice is calculated from the people who take seats, so free seats don't carry over to the next period.

How many seats Free Team has

Free Team has 5 seats, including the owner. When they're all taken, the invitation window says “All member seats are taken”, and you can only invite a guest: up to 5 per space and up to 2 in one project. An invited person can't accept the invitation until a seat is free. To get more seats, the owner subscribes to Business.

How seats relate to Pro

Everyone who takes a seat in a team on Business gets Pro in their personal space at no extra cost. If the person had their own paid Pro, it's paused for this time, and the remaining days are kept. See “Personal and team plans: what applies where” for details.
