Selecting tasks and bulk actions
Select several tasks in Taska to change their deadline, priority or assignee at once, move them to another board, make copies or delete them.
How to select tasks
- In the header, click the “Select tasks” button with the check marks icon. On a board, it's to the left of the funnel filter button. In “Today”, “Inbox” and “My tasks”, it's the first button to the right of the title, and in “Upcoming” it comes right after the view switch, or right after the month name in the “Calendar” view.
- Click the cards you need. A selected card gets an outline, and clicking it again removes it from the selection.
- A bar with action buttons and the number of selected tasks (“Selected”) appears at the bottom.
While selection mode is on, clicking a card doesn't open the task, and clicking outside the cards doesn't clear the selection. To leave selection mode, click the cross on the right of the bar or press Esc.
You can also select without the button. Hold Ctrl, or Cmd on a Mac, and click a card. The right-click menu also has a “Select” item. A selection made this way is cleared when you click outside the cards.
What you can do with selected tasks
| Button | What it does |
|---|---|
| “Priority” | Gives all tasks the same priority |
| “Deadline” | Gives all tasks the same deadline or removes it. Closed tasks are skipped |
| “Assignee” | Assigns one assignee or removes the assignee. If the tasks belong to different projects, you choose the assignee step by step, one project at a time |
| “Status” | Moves the tasks to one column of this board. This button exists only on a board |
| “Move” | Moves the tasks to another board, into its first column. See “How to move a task to another board” |
| “Create copies” | Makes copies right away. Each copy appears below its original, and the notification has an “Undo” button |
| “Blockers” | Sets one blocker on all tasks or removes blockers. The button appears if blockers are available in the space. See “Blockers: how to mark a task as blocked” |
| “Relations” | Builds the tasks into a chain, makes them parallel or removes relations. The button appears if relations are available in the space. See “Related tasks and task chains” |
| “Ask TaskAI” | Asks TaskAI a question about the selected tasks. Only people with TaskAI turned on see it |
| “Delete” | Sends the tasks to the trash. You can restore them from there within 30 days, see “How to delete and restore a task” |
The “Delete” button sits apart, on the second row of the bar. Almost every button opens a window. It lists the tasks the action affects and any warnings. Nothing changes until you click the confirm button in the window. Only “Create copies” works without a window.
How to set a deadline for several tasks at once
- Select the tasks.
- In the bar at the bottom, click “Deadline”.
- Click the date field, choose a day and a time, and click “Done”. The three buttons below the calendar set today, tomorrow and a week from today.
- Click “Change deadline”.
All the tasks get exactly the same deadline, both date and time. A notification says how many tasks got the new deadline. For recurring tasks, only the current repeat moves, and the series keeps its schedule.
To remove the deadline from all selected tasks, choose “Without a deadline” in the same window and click “Clear deadline”.
Where selection works
- On a board in the “Kanban”, “List” and “Calendar” views, in “Today”, “Upcoming”, “Inbox”, “My tasks” and in a service desk queue. In “Upcoming”, you can also select in the “Calendar” view.
- A selection lives in one place, on one board or in one list. In “Today”, overdue and today's tasks are selected together.
- In “My tasks”, the selection stays when you change the view or the grouping. It's cleared in the “Summary by project”.
- Personal lists have no “Status” button because their tasks come from different boards. To send tasks to a column of another board, use “Move”.
- Meetings from your own calendar in “Today” and “Upcoming” can be selected along with tasks, but only “Deadline” applies to them.
- Where you have read-only access, for example in someone else's project as a guest, you can't select tasks.
Selecting on your phone
Press and hold a card for half a second. Selection mode turns on and the card is selected. Then tap the other cards you need. On a narrow screen, the bar buttons show only icons, in the same order as in the table above. To leave, tap the cross on the bar.
