Invitation links: create, limit and revoke

Updated:

In Taska, an invitation link lets anyone who opens it and clicks “Accept” into your team or project. Set a role and how long the link works, and revoke a link you no longer need.

  1. Click the team's name in the sidebar, then “⋮” in the top right corner and “Space settings”. Open the “Access” tab.
  2. Click the row the link should lead to. The first row, with the team's name, opens the whole space. A project or section row opens only that project or section.
  3. In the panel that opens, click “Invite by link”.
  4. In the “Role” field, choose the role people join with. The “Admin” role is available only for a link to the whole space.
  5. In the “Link expires in” field, choose “1 day”, “7 days”, “30 days” or “Never expires”. The default is 7 days.
  6. Click “Create”. The link appears under “Active links”.
  7. Click “Copy” and send the link to your teammates. The button shows “Copied!” for a second.

The Invite by link window, Active links block: the Copy button next to a link is numbered 7, and the Times used counter is outlined

Each link shows its role, its expiry (“Expires at” with a date, or “Never expires”) and a “Times used” counter. You can create as many links as you like, with different roles and expiry times.

If they're already signed in to Taska, an “Invitation” notification appears with “Accept” and “Decline” buttons. If they aren't, Taska asks them to sign in or sign up and then shows the same notification. Access opens only after they click “Accept”. If they already have this access, nothing happens. See “How to accept an invitation to a team” for details.

  • You choose the expiry when you create the link and can't change it later. If you need a different expiry, create a new link and revoke the old one.
  • If people only need to view, create a link with the “Guest” role.
  • To open just one project or one board, click its row in step 2 instead of the team's row.
  • To open several sections with one link, tick them in the list and click “Invite by link” on the bar that appears above the list.
  1. On the “Access” tab, scroll down to the “Invite links” block. It lists every link in the space: where it leads, its role, how many times it was used and until when it works.
  2. In the link's row, click the revoke icon on the right.
  3. In the “Revoke the invitation link” window, click “Revoke”.

The link stops working right away. Revoked and expired links are collapsed into the “N more revoked or expired” line.

Revoking a link doesn't take access away from people who already joined with it. You can remove them on the “Members” tab with the “Remove” button. If someone opened the link but hasn't accepted the invitation yet, open the panel of the team, project or section the link led to on the “Access” tab. Their row there is marked “Sent”. Click “Revoke” in that row, and the invitation won't work.

If the “Member” role isn't available

On the free Free Team plan, a team has up to 5 members including the owner. When all seats are taken, you can create links only with the “Guest” role. A seat is taken when the person accepts the invitation.

A link to a project in your personal space

You can't create a link to your whole personal space. On the project card, click “⋮” and choose “Access”. For a project with a single board, open the board and choose “Manage access” in its menu. In the window, click “Invite by link” and continue with steps 4-7.
