How to use a checklist in a task

Updated:

The “Checklist” in Taska breaks a task into steps that you check off as you go. Items are saved right away, so you don't need to click “Save” for them.

How to add and check off items

  1. Open the task. The “Checklist” is in the block in the middle of the window.
  2. Type an item in the “Add a checklist item” field and press Enter or click the plus button.
  3. When a step is done, tick the box to the left of its text.
The Checklist block in the task window: the block header is numbered 1, the Add a checklist item field 2 and the first item's checkbox 3. The 2/4 counter and progress bar at the bottom are outlined

The bottom of the block shows how many items are checked, for example “2/4”, and a progress bar. The same bar runs along the bottom edge of the task card on the board.

How to edit, reorder or delete an item

  • To fix the text, click it, make your change and press Enter. Esc cancels the edit, and the task window stays open.
  • To change the order, drag an item up or down. On a phone, press and hold the item first.
  • To delete an item, hover over it and click the trash icon on the right. The item is deleted immediately, without a confirmation.

Right-click an item to open its menu. It has “Mark as done” or “Mark as not done”, “Edit”, “Copy text” and “Delete”.

How to turn a chat message into an item

In the chat, open the message menu and choose “To the checklist”. The message text becomes a new checklist item. The item gets a “Go to the message” icon that scrolls the chat to the original message. Under that message in the chat, you can see the items created from it and check them off right there. See “Task chat: replies, mentions and reactions” for more about the chat.

The checklist when you create a task

The “Create a task” window also has a “Checklist” on the right. Items you add there are saved when you click “Create”. If you close the window earlier and save a draft, the items stay in it along with everything else you entered. Answering “Don't save” deletes them. See “How to create a task”.

An empty checklist and TaskAI

An empty checklist has an “Ask TaskAI” button. TaskAI can suggest items based on the task description or collect agreed actions from the chat. See “Quick questions on each screen”.

Who sees and checks off items

The checklist is shared by everyone who has access to the task. Guests in the project, and everyone viewing a task in an archived project, see it as read-only. You can also check off items in the quick look panel without opening the task window.
