Inbox, Today, Upcoming and My tasks: how tasks get into your lists

Updated:

Taska's personal lists gather your tasks from all your spaces. “Inbox” holds tasks without a board, “Today” and “Upcoming” show tasks with a deadline, and “My tasks” covers everything related to you.

Where to find the lists

The lists are at the top of the sidebar, below the “Create a task” and “Search” buttons. Next to “Inbox” you see how many tasks it holds. “Today” shows the number of tasks due today. If you have overdue tasks, a blinking red counter of overdue tasks appears instead. “Upcoming” and “My tasks” have no counter in the sidebar, and you see the number of tasks on the screen itself.

What goes into each list

ListWhat it showsWhat it doesn't show
“Inbox”Open tasks without a board where you are the assignee or there is no assignee. The deadline doesn't matterTasks on boards, tasks assigned to someone else, closed tasks, service desk tickets
“Today”Open tasks due today where you are the assignee or there is no assignee. The “Overdue” block at the top holds the same kind of tasks whose deadline has passedTasks without a deadline, tasks assigned to someone else, closed tasks
“Upcoming”The same tasks as in “Today”, arranged by day for a year ahead. The same “Overdue” block is at the topTasks without a deadline. A recurring task appears only on its nearest date
“My tasks”Tasks where you are the assignee, the author or part of the chat discussion, plus unassigned tasks from your projects. They are split into views, and the deadline doesn't matterTasks of colleagues you have nothing to do with

The lists include tasks from every space where you are a member, from projects you were invited to, and tasks you created yourself. Tasks from archived projects and sections never appear in them. All “My tasks” views are described in “My tasks: views and what each one shows”.

The assignee decides whose task it is

“Inbox”, “Today” and “Upcoming” show tasks assigned to you and tasks with no assignee. A task without an assignee counts as shared. If it has a deadline, it shows up in “Today” and “Upcoming” for everyone who can see its project. As soon as someone is assigned, the task leaves everyone else's lists.

If you assign a task to a colleague, it disappears from your “Inbox”, “Today” and “Upcoming”. You can find it in “My tasks” in the “Delegated by me” view.

The deadline decides which day a task appears on

There is no separate button that adds a task to “Today”. The task's place depends on its deadline, which is the “Deadline” field in the task window.

  • If the deadline is today, the task appears in “Today” and on the first day of “Upcoming”.
  • If the deadline is in the future, the task sits in “Upcoming” on its day.
  • If the deadline has passed, the task moves to the “Overdue” block. Overdue is counted by date, not by time. A task due at 9 AM stays in “Today” until the end of the day.
  • If there is no deadline, the task is in neither “Today” nor “Upcoming”. It stays on its board or in “Inbox”, and the “No deadline” view in “My tasks” shows it.

The day is based on the clock and time zone of your device.

Example: one task in several lists

You note down the task “Call with the client about the contract” with “Create a task”, without a project, due tomorrow at 3 PM. You are its assignee. Right now it is in “Inbox” because it has no board, and in “Upcoming” on tomorrow's date. In “My tasks” it shows up in the “Assigned to me” and “On fire” views.

Tomorrow the task also appears in “Today”. If you don't close it by midnight, the next day it moves to “Overdue”. Once you move it to a board, it leaves “Inbox” but stays in the other lists.
