Taska

Sidebar: sections, spaces and counters

Updated:

In Taska, the sidebar on the left leads to your task lists, favorites, spaces, notifications and profile. The numbers next to items show how many tasks or notifications are waiting for you.

What's in the sidebar

  1. “Create a task”. Opens the new task window. If you don't pick a project there, the task goes to “Inbox”.
  2. “Search”. Opens search across all your spaces. The Ctrl+K shortcut (⌘K on a Mac) does the same, and a hint for it is shown on the right.
  3. Personal task lists: “Inbox”, “Today”, “Upcoming” and “My tasks”. How tasks get into each list is explained in “Inbox, Today, Upcoming and My tasks: how tasks get into your lists”.
  4. “Favorites”. Your bookmarks for projects, sections, articles and tasks.
  5. Spaces. “My projects” is your personal space, and your team spaces come after it. Each space lists its projects, and an extended project lists its boards, knowledge bases and roadmaps. Click a row to open it.
  6. “Notifications”. Opens the notifications panel on the right.
  7. The button with your name. Opens your profile and settings. Your plan, for example Free or Pro, is shown on the right of it.
The sidebar: Create a task, Search, the personal lists, Favorites, the spaces, Notifications and the button with your name are numbered 1 to 7

The last row in the list of spaces, “Add a team”, creates a team space. See “How to create a team space” for how to do it.

What the numbers mean

ItemWhat the number shows
“Inbox”How many open tasks are in “Inbox”.
“Today”How many tasks for today aren't done yet. If you have overdue tasks, a blinking red number of overdue tasks is shown instead.
“Notifications”How many notifications you haven't read yet. More than 99 is shown as “99+”.
“Timers”How many task timers you have.

When there's nothing to count, the number disappears. “Upcoming”, “My tasks” and “Favorites” have no numbers, since the count is shown on the screen itself.

What not everyone sees

  • “TaskAI”. The assistant button at the bottom of the sidebar, with your remaining sparks next to it. It's visible to people who have access to TaskAI. The Ctrl+J shortcut also opens the TaskAI panel.
  • “Timers”. Appears when you have a task timer. While a timer is running, the button blinks.
  • “Invited me”. Projects from other people's personal spaces that were shared with you. The block only appears when you have such projects. See “‘Invited me’: projects shared with you” for details.
  • “Service desks”. Desks where you're a member. The block only appears when you have any.
  • The Pro banner above the bottom buttons. On the Free plan it says “Unlock Pro features”, and during the Pro Trial it shows how many days are left. The cross on the banner hides it until your plan changes.
  • A red “!” on the button with your name. It means there's an unpaid invoice. You'll find it on the “Billing” tab of your profile.

How to collapse the sidebar

  1. Click the arrow on the right edge of the sidebar, level with the logo. The sidebar collapses into a narrow strip: items turn into icons, and the numbers move to their corners.
  2. Point to a space icon. A list of its projects and sections appears on the right, and you can open any of them from there.
  3. To expand the sidebar, click the arrow again.
The collapsed sidebar: the team space icon is numbered 2 with its project list open on the right, and the expand arrow is numbered 3

You can change the width of the expanded sidebar by dragging its right edge. The width can be from 240 to 500 pixels. Taska remembers the width and the collapsed state in this browser, so another device keeps its own.
